Another small point/correction . . . In my email, I wrote "this is how we solved the problem" . . . by that I don't mean this is a perfect, or even good, solution or that it is a solution you should adopt, but more . . . "this is what we did . . . hope it helps." That having been said, everyone has to deal with names, addresses, and other similar content models (and even "envelopes"). To the extent cross-pollination can bring about standards, that would be great too.
